Important Deadlines

PowerPoint Presentation and Handouts
PowerPoint slides and handouts are due Monday, May 20. The PowerPoint template can be downloaded here. All presentation materials must be emailed to HeartlandEducation@vgm.com.
We highly recommend you provide a handout. Handouts will be available to attendees to download from the attendee portal on the Heartland website. If you would like to provide paper copies, we suggest that you print them and bring them to hand out. We will not automatically use your PowerPoint slide deck as a handout. You may upload your session handout(s) on the Heartland website under your speaker profile or email it to HeartlandEducation@vgm.com.

Please note, we do not allow for logos from your organization to be placed on each of your slides. You may place your organization’s logo by your contact information on your last slide.
As a reminder, sessions should be educational in nature and should not promote a specific product. The intent of all Heartland sessions is to be educational and not a sales pitch. Even if your product is the only one available in a specific Medicare category, your organization’s name should not be used.
Presentation Tips
The following are suggestions to make your presentation go as smoothly as possible during the VGM Heartland Conference.
- PowerPoint/Handouts must be less than 20 Megabytes.
- Include your name on the first PowerPoint Slide and provide your contact information at the end.
- You may include your company's logo only next to your contact information. Please do not include your company's logo throughout the presentation.

PowerPoint Videos
If your presentation has an embedded video, it may not work when the PowerPoint file is copied from the computer it was created on. If a video is essential to your presentation, we recommend that you test the video on your own laptop to confirm that it works, then bring your laptop to use during the presentation.
If your presentation includes a video that is streamed from the internet (such as a YouTube video) please be aware that the quality of the video may be degraded if there is a high amount of traffic on the Wi-Fi network.
Registration
Please note as a presenter, you must now register through the speaker portal to receive your complimentary attendee pass for the Heartland Conference. This pass will grant you access to the conference, including other education sessions where you can earn CEUs. Remember to do this in advance and arrive at least 30 minutes prior to your session for check-in and familiarization with your session room.
Check-In
Once you arrive in Waterloo, speakers may check in at the Waterloo Convention Center to print name badges. Once checked in, please visit the Speaker Ready Room, which will be on the first floor of the convention center.
A/V and Technology
Each education room will include a laptop with your PowerPoint slides, slide advancer, screen, projector, and microphone. A staff member from VGM IT will be available if you have questions about technology. If you have any specific technology requests, please email them to HeartlandEducation@vgm.com.
